Refund Policy:
Refund Policy Upon Student Withdrawal
It is understood there may be unplanned events which occur, causing a student’s pathway to change. This may mean the student must withdraw from the program of study.
This Academy follows the generally accepted practices for withdrawal and refunds for training colleges in the Province of Ontario.
The policy is described in detail in the full-time student agreement, a copy of which is provided to each student and available from the Program Director for Part-time students.
Refund Policy–Tuition Fees
If a student withdraws, he/she may be entitled to a tuition fee refund under certain circumstances and in other circumstances, may be required to pay a portion of tuition fees due under the program. The refund section included in any signed student agreement will be the defined terms of reference for refund calculations for a student. The following section is provided for general information regarding the current policies.
Refunds which are payable by the Academy will be issued to the student within 30 days of receipt of a withdrawal letter.
Withdrawal Action – in writing only
- Whether Full-time or Part-time (1 or more subjects) the same process is applied. The student must provide a signed, dated, written letter of withdrawal from the subject/program of study. It is the date of the receipt of this letter, by the Academy, which is the effective date for withdrawal.
- Telephone, in-person/verbal or email notice of withdrawal is not an accepted practice or recognition of withdrawal and the student will be considered registered until such time as the written letter is received.
- If a written notification is not received, the tuition fee will continue to be payable for classes as presented
- The letter must be addressed to one of the following: Program Director, Executive Director, Registrar or Dean, International Academy of Traditional Chinese Medicine.
- An interview with the Executive Director will be arranged to discuss various alternatives and to fully understand the nature of the student’s withdrawal
- In the event the Student withdraws or is terminated by the Academy, the Student understands and agrees that he/she is financially obligated to the Academy under the terms of their enrollment agreement. Retention of fees and refunds will be in accordance with the following:
To Initiate a Refund Request
1.0 To initiate a refund request the student must provide a written request for withdrawal to the Academy. It is the date of receipt of such withdrawal letter that is the effective date for any refund calculation.
2.0 Partial refund where student does not commence program
2.1 If a student is admitted to a training program and has paid fees to the Academy in respect of the program and subsequently does not commence the program, the Academy shall refund part of the fees paid by the student in the following circumstances:
2.1.2 The student gives the Academy notice that he or she is withdrawing from the program 14 days before the day the subject/program commences.
2.1.3 In the case of a student who is admitted to a program/subject on the condition that the student meet specified admission requirements before the day the program commences, the student fails to meet the requirements before that day.
2.1.3 The student does not attend the program during the first 14 days that follow the day the program commenced and the college gives written notice to the student that it is cancelling the contract no later than 45 days after the day the program has commenced.
2.1.4 The student commenced taking individual subjects before the start date of the Full-time program, had paid tuition fees and then elected to withdraw before the Full-time program actually commenced. The student’s withdrawal is calculated on an individual subject basis at $245.00 per unit/subject, and calculated as if they were Part-time.
2.2 The amount of a refund under section 2.1 shall be an amount that is equal to the full amount paid by the student for the subject/program, less an amount equal to the lesser of 20 per cent of the full amount of the fee and $500.
e.g. $49. for a 24 hour subject/unit.
2.3 A refund is payable within 30 days of the day the student gives notice of withdrawing from the program in writing – such date is deemed to be the date the letter of withdrawal is received. In the case of section 2.1.3, such refund will be sent within 45 days.
Note: The Academy is entitled to recover all out-of-pocket expenses or regular fee assessments for services, when calculating the refund. This may occur when the Academy’s supply of textbooks, supplies and services has exceeded the Supplies fees paid by the student, up to the time of withdrawal.
3.0 Full-time Program –
Partial refunds: withdrawals and expulsions after program commenced –
3.1 The Academy shall give a student who commences a subject/program a refund of part of the fees paid in respect of the program if, at a time during the program determined as:
(a) the student withdraws from the program after the program has commenced; or
(b) the student is expelled from the program in circumstances where the expulsion is permitted under the Academy’s expulsion policy.
3.2 The Academy shall pay a partial refund under this section only if the withdrawal or expulsion from the vocational program occurs at a time during the subject/program, as determined in accordance with the following rules:
3.2.1. In the case of a program that is less than 12 months in duration, the withdrawal or expulsion occurs during the first half of the program.
3.2.2. In the case of a program that is 12 months or more in duration,
i. for the first 12 months in the duration of the program and for every subsequent full 12 months in the program, the withdrawal or expulsion occurs during the first six months of that 12-month period, and
ii. for any period in the duration of the vocational program remaining after the last 12-month period referred to in subparagraph 3.2.2.i has elapsed, the withdrawal or expulsion occurs in the first half of the period.
4.0 If the student withdraws or is expelled from a program within the first half of a period referred to in subsection 3.2.1, the amount of the refund that the Academy shall pay the student shall be equal to the full amount of the fees paid in respect of the program less:
(a) an amount that is equal to the lesser of 20 per cent of the full amount of the fees in respect of the program and $500;
and
(b) the portion of the fees in respect of the portion of the period that had elapsed at the time of the withdrawal or expulsion.
5.0 If the student withdraws or is expelled from a vocational program during the second half of a period referred to in subsection 3.2.2, the Academy is not required to pay the student any refund in respect of that period.
6.0 The Academy shall refund the full amount of fees paid in respect of a period that had not yet commenced at the time of the withdrawal or expulsion E.g. fees for months 13-24 in a 24 month program and the withdrawal occurred in the period of months 1-12 or, fees for months 13-30 in a 30 month program if withdrawal occurred in the period of months 1-12. In a 30 month program and if the withdrawal occurs in months 12-24, the fees paid for months 25-30, if any, will be refunded.
Examples of Calculations for Full-time students:
Example 1: Student withdraws at the end of month 5 from a Full-time program
- Withdrawal at end of month 5 – tuition fees are calculated on a pro-rated basis for the period up to the receipt of the written letter of withdrawal and the balance of tuition fees paid to the Academy will be refunded, after deducting a withdrawal fee of $500.00.
- Pro-rated refund calculations are based upon the use of an earned tuition fee of $855 per month and the start date for the program being calculated from Date program started ______ to the date the letter of withdrawal is received. Minimum period being 1 week.
Refund Calculation: Based upon (A) Tuition + (B) Supplies/Services
(A) Tuition per Agreement: $17,450.00
Tuition Payments Received: $ 5,000.00
Tuition for period (5x$855.00) $ 4,275.00

Example 2: Student withdraws in month 11 from a Full-time program:
- For withdrawals occurring during months 7 to 12 there are no refunds for tuitions paid, unless the student has paid any fees towards months 13 to 24. The fees in the latter category (months 13-24) will be refunded.
- If a student withdraws during months 7 to 12 he/she is responsible for tuition fees for the period, from the date of withdrawal to the end of the 12 month.
E.g. a student withdraws at the end of month 11, he/she is responsible for payment of tuition fees until the end of month 12 or, 1 x $855
Under the provincial refund policy you are entitled to a tuition refund for any tuition fees received by the Academy for the time period, months 13 to 18.

7.0 Part-time programs or Non-Continuous Programs
7.1 This section applies to training program(s) to be provided through a fixed number of hours of instruction over an indeterminate period of time. It also applies to training programs presented as 6-24 hour subjects, over a period of 3 months (12 weeks) or less.
7.2 The Academy shall give a student who commences a training subject/program, a refund of part of the fees paid in respect of the program if, before completing the required number of hours of instruction in the subjects currently enrolled in:
(a) the student has given the Academy notice that he or she is withdrawing from the program; or
(b) the student is expelled from the program in circumstances where the expulsion is permitted under the private career college’s expulsion policy.
7.3 The amount of the refund that the Academy shall give a student shall be equal to the full amount of the tuition fees paid in respect of the subject/program less:
(a) an amount that is equal to the lesser of 20 per cent of the full amount of the fees in respect of the program and $500. If a student has registered for more than 1 unit/subject in the semester, the maximum withdrawal fee under (a) will be $500.00;
and
(b) a portion of the fees in respect of the subject/program that is proportional to the number of hours of instruction that have been presented at the time of the withdrawal or expulsion.
Example: Student withdraws after 4 hours of a subject being presented
Withdrawal fee: $245.00 x.20=$49.00
Tuition due: $245.00 x.17=$41.65
Fee for Withdrawal $90.65
Tuition Paid: $245.00
Amount due to student: $154.35
7.4 There is no refund at the time of withdrawal or expulsion if the Academy has presented more than half of the required number of hours of instruction in a subject. Example: 12/24 have been presented. The hours of determination are the hours ‘presented’ by the Academy and not necessarily the hours attended by the student.
8.0 Treatment of books
In calculating a refund after withdrawal by the student, the Academy will refund the wholesale cost of books that the Academy supplied to the student, if the books are returned in their original condition without marks or names, or in the same state as supplied, within 60 days of the start of a program.
No refund of textbooks will occur if:
(a) the student fails to return the books or equipment to Academy within 10 days of the student’s withdrawal or expulsion from the program, or
(b) the student returns the books within the 10-day period referred to clause (a), but fails to return it unopened or in the same state it was in when supplied.
(c ) the student has had the book in their possession longer than 60 days
9.0 Refund for International Students
9.1 An international student or a prospective International student who has not been issued a temporary resident visa as a member of the student class under the Immigration and Refugee Protection Act (Canada) is deemed to be:
(a) notice of a rescission of the contract for the purposes of a refund and that the notice is given within two days of receiving a copy of the contract; and
(b) notice that the student is withdrawing from the program for the purposes of paragraph 9.1, if the notice is received on or before half of the duration of the program has elapsed.
The International student will receive a refund of all monies paid to the Academy, with the exception of the Application fee and any out of pocket expenses, occurred on behalf of the student.
9.2 Once the student has arrived and started his/her program of study, he/she will be treated on an equitable basis to all other students in the Academy
10.0 Currency
Any refund of fees that the Academy refunds shall be paid in Canadian dollars
